Privacy Policy
Last Updated: August 2, 2026
This Privacy Policy explains how Epic Leap AI ("we," "our," "us") collects, uses, discloses, and protects information when you visit our website, contact us, or use our local SEO, AI assistant, automation, and related services (collectively, the "Services"). By using the Services, you acknowledge the practices described below.
1. Information We Collect
We may collect personal information you provide directly, including your name, email address, phone number, and billing details. We also collect business information such as company name, role, industry, service area, and operational requirements. When you use our website, technical information may be collected automatically, including IP address, browser type, device information, referring pages, and usage data.
Communication data may include emails, support requests, and call recordings where recording is applicable and lawfully enabled. In providing AI assistant and SEO services, we may process client and end-user data authorized by the client, including inquiry details, appointment information, conversation content, and account access needed to perform agreed work.
2. How We Use Information
We use information to provide, operate, maintain, and improve the Services; configure AI assistants and SEO campaigns; communicate with clients and respond to inquiries; process payments; personalize and optimize the website; troubleshoot technical issues; protect against fraud, misuse, and security threats; and comply with legal obligations. Where permitted by our agreement and applicable law, we may use service data to improve AI configurations, workflows, quality assurance, and reliability. We do not use client-controlled data for unrelated purposes.
3. Sharing of Information
We do not sell personal information. We may share information with service providers that support hosting, analytics, communications, payments, data storage, and other operational functions. These providers receive only the information reasonably necessary to perform their services and are expected to protect it. We may disclose information to legal authorities when required by law, subpoena, court order, or a valid governmental request, or when reasonably necessary to protect rights, safety, and the integrity of the Services. Information may also be transferred as part of a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.
4. Data Retention
We retain information only for as long as reasonably necessary for the purposes described in this Policy, to provide the Services, maintain business and financial records, resolve disputes, enforce agreements, and satisfy legal requirements. Retention periods vary according to the nature of the data, client instructions, contractual commitments, and applicable law. When information is no longer needed, we take reasonable steps to delete or anonymize it.
5. Your Privacy Rights
Depending on your location, you may have rights to request access to and portability of your personal information, correct inaccurate information, request deletion, restrict or object to certain processing, and opt out of marketing communications. Marketing emails include an unsubscribe link. California residents may have additional rights under the CCPA/CPRA, including rights concerning access, correction, deletion, and certain disclosures. Because we do not sell personal information, we do not offer a sale opt-out. To exercise a right, email support@epicleap.ai. We may need to verify your identity and may retain limited information where legally required.
6. Data Security
We use reasonable technical and organizational measures designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure. Measures may include access controls, vendor review, secure transmission, and limiting information access to those who need it. No internet transmission, platform, or storage system is 100% secure, so we cannot guarantee absolute security.
7. International Data Transfers
The Services are operated from the United States. If you access them from another jurisdiction, your information may be transferred to, stored in, and processed in the United States or other locations where our providers operate. Those locations may have data protection rules different from those in your jurisdiction. Where required, we use appropriate safeguards for such transfers.
8. AI & Automation Services
Clients using our AI voice and chat assistants are responsible for ensuring lawful processing of their end-user data and obtaining valid consent for AI-driven communications, call recording, automated outreach, and messaging. For client-controlled data, Epic Leap AI acts as a data processor and follows documented client instructions, contractual terms, and applicable law. Clients determine the purposes and means of their end-user communications and remain responsible for notices, consent records, suppression lists, and industry obligations. Epic Leap AI is not liable for unlawful processing initiated or directed by clients.
9. SEO & Analytics Services
Clients may grant us access to accounts such as Google Business Profile, search tools, analytics platforms, listing services, and website systems. We use that access solely to deliver, maintain, and report on the agreed Services. Clients should provide the minimum appropriate permission level and promptly notify us of access changes. At the end of an engagement, we relinquish our access within a reasonable period, subject to any transition assistance agreed with the client.
10. Cookies & Tracking Technologies
Our website may use cookies or similar technologies for essential functionality, performance measurement, and analytics. These technologies can help remember preferences and understand how visitors navigate the site. You can configure your browser to refuse or delete cookies, although doing so may affect some website functions. Browser controls and provider settings offer additional choices.
11. Children's Privacy
The Services are not directed to individuals under 18, and we do not knowingly collect personal information from them. If we learn that information from an individual under 18 was collected without appropriate authorization, we will take reasonable steps to delete it.
12. Changes to This Privacy Policy
We may update this Policy to reflect changes in our Services, practices, or legal obligations. Updates will be posted on this page with a revised "Last Updated" date. We encourage you to review this page periodically.
